Telephone & Voicemail

Full-time faculty and staff members are assigned a phone number with Voicemail. Please take the time to set up your voicemail account — entering a unique password and recording both your name and an outgoing greeting.

When setting up your account, you can choose to set an Operator Assistance Number — a number you would like your callers to be transferred to if they press Zero while listening to your greeting. So, for example, you could say in your outgoing greeting ‘for immediate assistance, press 0’ so your callers could be transferred to a different phone number. (This is also useful if you would like to give callers the option of calling your mobile phone without giving them the number.)

To Set Up your Voicemail Account

You can access your voicemail messages anytime whether on- or off-campus.

  1. Dial 222-3200 (3200 from campus phones).
  2. When asked for your mailbox number, enter your four-digit extention, followed by the # key.
  3. Then enter your password, followed by the # key. If you are logging in for the first time, enter your initial password (provided on the Account Info sheet initially provided).
    • Setting a New Password
      The first time you log in the system may automatically prompt you to set a new password. Or you will be instructed to press 8 4 to change your password.
    • When changing your password, the system will ask you for your ‘old’ password (this may be the initial password).
    • You will then be asked to enter a new password, followed by the # key.
    • Confirm your new password by entering it again, followed by the # key.

OK, You’re In—Now What?

If you have messages, they will begin playing. To continue setting up your voicemail account, continue whether messages are playing or not. If you don’t have messages, the prompt will say ‘to compose a message, press 7 5. For mailbox commands, press 8 *.’

  1. Press 8 for the Mailbox Commands menu
  2. Press 2 for Greetings options
  3. Press 9 for Personal Verification, to record your name. Listen to the prompts to complete the recording process. When complete, you will return to the Main menu.
  4. Press 8-(Mailbox Commands) then 2 for Greeting options (again).
  5. Press 1 to record your External greeting. Listen to the prompts to complete the recording. (Remember to include instructions to press Zero for immediate assistance if you choose to set an Operator Assistance Number.)
  6. You can also set up an Internal greeting which would be played for those calling from a CCAD phone. If you choose not to record an internal greeting, the system will automatically play your external greeting for all callers.
    You can also set up a Temporary greeting — an alternate greeting you could use during a semester break, vacation, etc. Temporary Greetings allow you to set an Expiry Date and Time, so they will automatically stop playing at a predefined time. Listen to the prompts to set either Internal (option 2) or Temporary (option 3) greetings.
  7. Set an Operator Assistance Number. (If you do not need to set a 'zero-out' number, skip to the next step.)
    • Press 8 (Mailbox Commands).
    • Press 0 for Mailbox Options.
    • Press 1 to set an Operator Assistance Number. Follow the prompts to complete the process. For a campus number, just enter the last four digits. For an outside line, remember to start with 8, then enter the number just as you would dial it. When complete, you will return to the main menu.

Your voicemail is now set up, ready to receive messages. You can now hang up the phone, or listen to any messages you may already have.

Retrieve Your Voicemail Messages

You can access your voicemail messages at any time.

  1. Dial 222-3200 (3200 from campus phones).
  2. When asked for your mailbox number, enter your four-digit extention, followed by the # key.
  3. When prompted for 'Password?' enter your password, followed by the # key.

If you have any messages, the prompt will then state how many messages you have and will begin playing the messages. Otherwise, you will hear 'You have no new messages.'

While a message is playing:

  • press 1 to Skip Back (rewind 3 seconds)
  • press 2 to Play messages. After playback ends, press 2 to Re-Play from Start.
  • press 3 to Skip Forward (jump forward 3 seconds)
  • press 4 for Previous Message
  • press 6 for Next Message

During or at the end of the message:

  • press 7 6 to Delete the message
  • press 7 1 to Reply to the message
  • press 7 2 to Play Envelope (info about the message)
  • press 7 3 to Forward the message (send a copy) — just enter the last 4 digits to forward to a CCAD number
  • press 7 9 to Call the Sender

Any message you listen to will automatically be saved for 14 days.
